This Cancellation, Withdrawal, and Refund Policy (“Policy”) outlines the terms under which participants may cancel their registration or withdraw from the tournament, and the conditions under which refunds may be issued. By participating in the tournament, you agree to comply with this Policy.
1. Cancellation Policy
We understand that circumstances may arise that could require a participant to cancel their scheduled participation in the tournament. To ensure smooth operations and minimize disruptions, cancellations must adhere to the following guidelines:
1.1 Cancellation Notice
- Advance Notice Requirement: Participants are required to submit a cancellation request at least 48 hours before the scheduled tournament session.
- Accepted Method of Cancellation: Cancellations must be communicated via email. The cancellation request must clearly specify the participant’s name, registration details, and the session they wish to cancel.
- Late Cancellations: Cancellations made less than 48 hours before the scheduled game are subject to a partial refund (if applicable), and no refund will be issued for cancellations made within 24 hours of the session.
1.2 No-Show Policy
- No-Show: A no-show refers to a participant who fails to attend the scheduled game session without providing prior notice as outlined above.
- Consequence of No-Show: No refund will be issued for participants who do not attend the game session and fail to notify EA Bridge of their absence in accordance with the cancellation guidelines.
- Cancellation Notice for No-Show: It is the responsibility of the participant to ensure timely cancellation or rescheduling if they are unable to attend.
2. Refund Policy
EA Bridge aims to provide fair and transparent refund practices. The refund eligibility is outlined below based on the timing of the cancellation:
2.1 Refund Eligibility
- 100% Refund:
- A 100% refund will be issued if the cancellation request is made 48 hours or more before the scheduled game session, provided that the cancellation is in accordance with the cancellation guidelines set forth in this Policy.
- A written notice must be provided with a valid reason for cancellation within the specified 48-hour window. The request will be processed once the reason for the cancellation is reviewed and deemed valid by EA Bridge.
- 50% Refund:
- A 50% refund will be issued if the cancellation request is made between 24 and 48 hours before the scheduled session, provided the request meets the conditions outlined in this Policy and a valid reason for the cancellation is provided in writing.
2.2 Ineligible Refunds
- No Refund for Late Cancellations: Cancellations made within 24 hours of the scheduled game session are not eligible for any refund.
- No Refund for No-Show: No refunds will be issued for participants who do not attend the scheduled session without notifying EA Bridge in advance as per the cancellation guidelines.
2.3 Refund Processing
- Processing times for refunds may vary depending on the payment method used, but refunds are typically completed within 7–14 business days from the approval of the cancellation request.
3. Withdrawal Policy
Participants wishing to withdraw from the tournament or any specific game session must follow the cancellation guidelines. If withdrawal is necessary, it will be treated in the same manner as a cancellation, and the following conditions apply:
- Written Withdrawal Notice: Participants must submit a written withdrawal notice to EA Bridge at least 48 hours before the scheduled game session to ensure eligibility for any potential refund, as outlined in the refund policy.
- Non-Refundable Withdrawal: If a participant withdraws within 24 hours of the scheduled game session, no refund will be issued, and the cancellation will be treated as a no-show.
4. Exceptional Circumstances and Force Majeure
EA Bridge recognizes that exceptional circumstances may arise that prevent participants from adhering to the cancellation and refund terms, such as unforeseen medical emergencies or situations beyond the participant’s control.
In such cases, EA Bridge may, at its sole discretion, review and consider offering partial or full refunds for cancellations made outside of the standard cancellation windows, provided:
- The participant submits appropriate documentation (e.g., medical certificates, etc) to support their request.
- The participant contacts EA Bridge as soon as reasonably possible and provides the necessary documentation for review.
- EA Bridge reserves the right to approve or deny any request for a refund under these circumstances.
